Step 7: Activities
Using your inventory and your files, determine how you will group your materials together into folders:
- Review what you learned about your chosen digital repository in Step 1, revisit its website, or contact a representative to determine the following:
- Does it use a flat or nested folder structure?
- Does it require a specific arrangement strategy or are you free to pick your own?
- Review your materials to determine appropriate arrangement strategies for the files.
- Arrange your files into folders according to these arrangement strategies and the folder structure of the archive.
Make sure your data is discoverable:
- Make sure that your metadata is complete and accurate and that it can be understood by someone who was not a project participant.
- Make sure that all of your folders have user-friendly titles.
- Compare all of your titles and revise any that are ambiguous.
Evaluate the file formats in your inventory.
- Make sure that the formats conform to the formats that your chosen digital repository can support.
- Complete any necessary format conversions. Contact a representative of your repository if you need guidance on format conversion.
If your collection has zipped files,
- Confirm that your chosen repository accepts this format.
- Make sure you have provided a file inventory for each zipped file that includes metadata, files sizes and formats for all files within the ZIP.
Submit your collection to the repository!
