Step 7: Activities

Using your inventory and your files, determine how you will group your materials together into folders:

  1. Review what you learned about your chosen digital repository in Step 1, revisit its website, or contact a representative to determine the following: 
  • Does it use a flat or nested folder structure? 
  • Does it require a specific arrangement strategy or are you free to pick your own? 
  1. Review your materials to determine appropriate arrangement strategies for the files.
  2. Arrange your files into folders according to these arrangement strategies and the folder structure of the archive.

Make sure your data is discoverable:

  1. Make sure that your metadata is complete and accurate and that it can be understood by someone who was not a project participant.
  2. Make sure that all of your folders have user-friendly titles.
  3. Compare all of your titles and revise any that are ambiguous.

Evaluate the file formats in your inventory. 

  1. Make sure that the formats conform to the formats that your chosen digital repository can support. 
  2. Complete any necessary format conversions. Contact a representative of your repository if you need guidance on format conversion.

If your collection has zipped files,

  1. Confirm that your chosen repository accepts this format.
  2. Make sure you have provided a file inventory for each zipped file that includes metadata, files sizes and formats for all files within the ZIP.

Submit your collection to the repository!
